Studypages FAQ

Go to studypages.com/login and sign in using your UC Davis credentials, as institutional users are required to log in through an approved authentication method. External or non–UC Davis collaborators must create a separate Studypages account, and the Principal Investigator (PI) is responsible for verifying and approving each external user before they are added to a study workspace. Once signed in, you’ll be prompted to complete a short form to finalize your account setup.

For studies overseen by the UC Davis IRB, no separate review is required to list actively recruiting studies on Studypages—your IRB-approved recruitment materials can be used directly.
For studies relying on external IRBs, no separate review is needed for Advarra, NCI CIRB, UCI, UCLA, UCSB, UCSD, and WIRB/WCG. A separate review or approval is required for UCSF or any other IRB not listed.
For all studies, you must still follow UC Davis policy HRP-092 on what information is appropriate to include on your Studypages public page.

For UC Davis IRB-approved studies, a study workspace is automatically created in Studypages through an IRB import. An initial draft of the public page is then prepared and edited by a study team member or a UC Davis Studypages Org Admin. If the study should appear in the UC Davis Studypages Gallery, the appropriate gallery tags must be selected. Once the study team and Principal Investigator (PI) have reviewed and approved the draft content, a Publish Request is submitted. After review and approval by the Studypages team, the page is published, made public, and listed in the Gallery if selected.

All edits can be made in the Public Page section of your workspace by selecting the Edit action. Your initial publication goes through the full approval process, but any subsequent updates will appear immediately on the public page. It is the study team’s responsibility to ensure all updates continue to align with institutional policy and IRB requirements.

When your page is ready, submit the Publish Request within the Public Page section of your Studypages workspace. To have your study listed on the UC Davis Studies Gallery for public discovery, enable the UC Davis Public Gallery settings in the Public Page section of your workspace. Gallery tags help categorize your study into the appropriate filter groups on the public gallery—select all tags that are relevant to your study to ensure it appears in the correct search and filter results. If you do not enable the gallery setting, only people who receive the direct link to your page will be able to view it. Once all approvals are completed, your page will be published and live within 24 hours according to your chosen visibility settings.

Yes. Studypages offers a Snooze Signups feature that lets you temporarily halt recruitment. Your study will remain active and visible, but no one will be able to sign up while snooze is enabled. To use this feature, simply turn it on within the Settings section of your workspace, and set the snooze from the Public Page tab.

You can remove your page from the Gallery and mark your study as no longer recruiting by submitting a Removal Request from the Public Page tab.

You can recruit by copying and sharing your public page URL directly from the Public Page section of your workspace—each language version (e.g., English, Spanish, Vietnamese) has its own unique link—or by generating a QR code to include on outreach materials. These links and QR codes can be distributed through digital channels such as national disease-specific foundations or websites, support forums, online community spaces, social media campaigns, and department-approved registries, or shared directly with approved EMR cohorts using Studypages invite campaigns. Recruitment can also occur through community outreach, partnerships with community organizations, health fairs or other in-person events, clinic- or hospital-based materials (e.g., postcards), and colleague referrals. Regardless of recruitment source, all signups are funneled into a single Studypages workspace for centralized tracking and follow-up.

Potential participants can sign up directly through your public page. They complete a short interest or prescreen form, and their information appears in your study workspace for follow-up.

Yes. Signups or Participants can be added directly to your workspace either one at a time or in bulk using the Import functionality. The importer allows you to upload existing databases or spreadsheets and map custom fields beyond basic contact information into the Signups/Participants tab of your study workspace, enabling centralized tracking and management of all participants in one place.
